Our Pfizer Clinical Research Unit (PCRU) in Brussels is a state-of-the-art research facility with sixty inpatient beds dedicated to early clinical trials (Phase 1 & 2a studies).

JOB SUMMARY

Proactive, flexible and independent administrative professional contributing to high-quality business results through professional and efficient planning and execution of administrative tasks and duties so as to support manager(s) and enable their focus on strategic areas and leadership roles. Identify the managers' priorities, workload, routines and activity portfolio as much as possible and provide input/take initiative as to how all those activities can efficiently be managed. Follow-up all activities for timely and proper completion.

JOB RESPONSIBILITIES

  • Regarded as point person in key areas of administrative knowledge and execution
  • Implement the respect of confidentiality in all aspects of the job
  • Determines own work priorities based on an understanding of departments and manager(s) needs
  • Identifies administrative issues and recommends/implements most appropriate solutions that impact completion of own work
  • Finds innovative ways to overcome obstacles/barriers in order to resolve own work issues, and keeps ability to meet deadlines in a fast-paced quickly changing environment
  • Assists Medical Director/Site Lead in the preparation of presentations (e.g., fathers information for presentation, creates graphics)
  • Can participate in Pfizer task forces/committees within scope of responsibilities, keeping Medical Director/Site Lead aware of issues/outcomes, as appropriate
  • Team Work - Work across sites with administrative staff to achieve work of BR-CRU
  • Regularly (re)schedule the agenda of the day to the Medical Director/Site Lead.
  • Ensure regular update of information
  • Book Pfizer staff's travel and accommodation
  • Professionally plan, implement & communicate scheduling of meetings, appointments, lunch, dinner and other events. Ensure full responsibility of electronic agenda update and management.
  • Accurately record minutes from meetings and ensure distribution to appropriate staff while keeping respect of confidentiality if any

QUALIFICATIONS / SKILLS

Bachelor degree in Management Assistant or equivalent.

Min. 5 years of experience in the field of administration, secretarial work or office management. Experience as an executive assistant is a strong asset. Experience in healthcare or pharmaceutical business is a plus.


IT skills

  • Must have excellent working knowledge of computers, and familiar with Microsoft Office Applications.

Language Skills

  • Excellent written and verbal skills in English, French and Dutch are essential.
